Trip Guide: Travel Day & Flight Delays — Your Game Plan

November 6, 20266 min read

Flights get delayed. Bags take detours. Here's my calm, step-by-step plan for travel day — what to do before you leave, what to do if things change, and what you're entitled to.

Hi, it's Aya! Travel day is the one part of your vacay none of us fully controls. Weather, mechanical issues and crowded airports happen to everyone. The difference between a rough day and a minor detour usually comes down to having a plan, so here's mine.

The day before

  • Check in online 24 hours ahead. Confirm your seats, double-check your flight times (they do shift), and make sure your passport, TSA PreCheck or Global Entry number is attached to your reservation.
  • Turn on your airline's app notifications. You'll often hear about a change there before the departure board updates.
  • Charge everything, and put the chargers in your carry-on.
  • Passport. Passport. Passport. Put it where you can't leave without it.

Getting to the airport

Plan to arrive about 3 hours before an international flight and 2 hours before a domestic one. Before you head out, check your flight status one more time. If it's already delayed or canceled, it's much easier to sort out from your couch than from a security line.

Flying within the U.S.? Make sure your driver's license is REAL ID–compliant (look for the star in the top corner), or bring your passport instead.

If your flight is delayed or canceled

Here's the order I'd tackle it in:

  1. Rebook through the airline right away. Get in line at the gate, and while you wait, try the airline's app or call them at the same time. Whichever answers first wins. Seats on the next flight go fast.
  2. Have a plan B in mind. Look up alternate flights or routes while you wait. An agent can move much faster when you can say exactly what you want.
  3. Be kind. Gate agents are having a hard day too, and they hold the keys to the next seat out. Patience and a friendly tone go a long way.
  4. Text me. Once you know your new arrival time, let me know so I can update your transfer, your property and any tours on that first day.

Stuck overnight?

Ask the airline whether they'll provide a hotel or meal voucher. Policies vary by airline and by the reason for the delay (weather usually isn't covered; mechanical and crew issues more often are), so it's always worth asking. Check your credit card benefits too. Many premium cards include trip-delay coverage that reimburses meals and a room. If the delay is just a few hours, an airport lounge can be a much more comfortable place to wait.

What you're entitled to

Under the U.S. Department of Transportation's refund rule, if your flight is canceled or significantly changed, you're entitled to a full refund if you choose not to travel. That includes a delay of 3+ hours on a domestic flight or 6+ hours on an international one. If the airline loses track of a checked bag for too long, you can also be owed a refund of your bag fee. If you do accept a rebooking, the refund doesn't apply — so decide what matters more for your trip.

If your bag doesn't show up

  • Report it before you leave the baggage area. The airline's baggage desk will file a report and give you a file reference number. Keep it, and use it in every conversation.
  • Keep your bag-tag sticker from check-in.
  • Save receipts for anything you need to buy while you wait. You'll need them for the airline and for your travel insurance claim.
  • Let me know so I can keep your property in the loop.

Who handles what

This is the part I want every client to understand before they fly:

  • For flights you booked directly with the airline, the airline is your fastest path to a fix. I can't change or advocate on those tickets, but I'll absolutely help you think through options.
  • For everything I booked — your property, transfers, tours and experiences — I'll handle the updates and contact each supplier about your new arrival time.
  • For anything you booked on your own outside of Dream in Color Travel, reach out to that company directly.

Where travel protection comes in

Most travel insurance plans reimburse you after the fact. You pay for the extra night or the new flight, then file a claim. So keep every receipt and document what happened: delay notices, emails, screenshots. Read your plan's trip delay and missed connection sections before you go so you know what's covered.

Landing back home

Coming back into the U.S.? Mobile Passport Control is a free app from U.S. Customs and Border Protection. It lets you submit your info on your phone and use a separate line at participating airports and some cruise ports, and families can submit together. If you travel internationally often, Global Entry is worth a look too. It also includes TSA PreCheck.

And one more thing: jet lag

  • Set your watch to your destination's time once you board.
  • Drink lots of water, and go easy on alcohol and caffeine during the flight.
  • Sleep on the plane if it's nighttime where you're going. An eye mask and earplugs help.
  • If you land in the morning, get outside in daylight and push through to a normal local bedtime. It's the fastest reset there is.

Most travel days go exactly as planned. And when they don't, you'll know just what to do — and I'll be right there with you.
